Photo proof and cleaning reporting after hospitality cleaning
Make cleaning proof visible: before photos, after photos, service notes and a certificate when the completed scope is suitable.
Reporting can help with internal records, insurance discussions, inspections or maintenance follow-up.
Photo proof is valuable, but certification remains linked to complete and verifiable system cleaning.
Proof for your quote decision
Clear certification, reporting and planning before you request a quote.
VCA-certified working method, Grease Hygiene Technician expertise and HACCP-based execution.
Registered company with clear business details for professional customers.
Quote and planning for hospitality, commercial kitchens and professional locations in the Netherlands.
Before/after photo proof, an inspection report and grease-layer assessment may be available after completion.
Price based on installation, contamination, access, urgency and complete scope.
A certificate may be available after complete, verifiable cleaning of the agreed relevant components. Grease buildup in extraction systems can increase risk. Professional cleaning helps keep installations easier to manage.
Emergency service, evening work, weekend work and out-of-hours planning available.
Documentation can support insurance questions, landlords, inspections or internal administration.
Certificate eligibility
No cleaning certificate for partial cleaning only.
A cleaning certificate is delivered only when the full relevant system has been assessed and cleaned. Partial cleaning of one component is not enough for certification.
For a certificate, we do not clean only one visible component. The full relevant system must be assessed, such as the extraction hood, filters, grease duct and extraction fan when they are part of the installation.
If only the extraction hood is cleaned while the grease duct or extraction motor remains contaminated, a full cleaning certificate cannot be issued. The certificate belongs to a complete and verifiable cleaning of the system.
Proof after completion
Photo proof makes the cleaning visible for administration, inspection and trust.
For hospitality business owners, proof can be as important as the cleaning itself. Before / after photos, service notes and reporting help show what was completed.
When the full relevant scope has been cleaned, this can be supported by a cleaning certificate. With partial cleaning, photo proof remains useful but it does not replace a full certificate.
Visitors understand the result faster when the outcome is shown visually.
Photos and reporting can support internal records, insurance or inspection discussions.
Only a complete system scope can lead to a certificate.

Proof
What can photo proof include?
Photo proof can help show the initial situation, completed work and visible cleaning result.
Components
Which parts can be documented by component?
Reporting is clearer when photos are grouped by component. What is possible depends on access, safety and the agreed cleaning scope.
Before / after
Before and after photos make the result easier to compare
Before photos show the initial situation. After photos make it clearer which components were cleaned and where access limits or follow-up advice apply.
Scope summary
Reporting should explain what was and was not done
A useful report names the completed work, the inspected installation parts and any components that were not safely or fully accessible.
Cleaning history
Recurring clients build a clearer maintenance file
For periodic maintenance, reporting after each visit can help show grease load, completed cleaning and advice over time.
Use
For administration, insurance questions or inspection
Proof after completion can be useful for internal administration, insurance questions or inspection follow-up. It does not replace unsupported guarantees, but it makes the completed work clearer.
Condition
Certificate only when the scope is correct
A cleaning certificate is provided only when the full relevant system has been reviewed and cleaned. Partial cleaning is not enough for certification.
Prepare your request
Share photos for a focused review.
You do not need to know every technical detail. Photos of the hood, filters, duct opening, motor or visible grease buildup help define the scope faster.
Frequently asked questions
Answers for hospitality business owners.
Do I always receive photo proof?
Photo proof depends on the service performed and the agreements made, but it can often be included.
What is included in a cleaning report?
It may include before and after photos, short service notes, component context, a scope summary and relevant follow-up points after completion.
Which components can be documented with photos?
That may include the hood, filter area, duct opening, grease duct, motor, fan and rooftop unit, depending on access and the agreements made.
Can it be used for insurance or inspection?
It can help as a supporting file for administration, inspection or insurance questions, but it does not guarantee acceptance by an insurer.
Can photo proof be built up for each maintenance visit?
Yes. For recurring maintenance, reporting per visit can help keep cleaning history, grease-load trends and follow-up advice organised.
Is a certificate the same as photo proof?
No. Photo proof shows images. A certificate is possible only with a complete and suitable cleaning scope.
Do I always receive a certificate after cleaning?
No. A certificate is issued only when the full relevant system has been assessed and cleaned according to the agreed scope. Partial cleaning of one component is not enough.
Why is cleaning only the extraction hood not enough for a certificate?
Because grease and contamination can also build up in filters, the grease duct, the duct opening and the extraction motor. For certification, the relevant system must be assessed as a whole.
Can I know in advance whether my installation is suitable for a certificate?
Yes. You can share photos or videos. Based on that, we review which parts need to be checked and cleaned to qualify for a certificate.
